How to fix the warning messages about employees' missing required tax reporting values.
What does this warning mean?
Certain tax agencies require additional reporting values when filing tax returns. This warning during payroll processing informs you that an employee needs this reporting value in their tax information screens.
This pay statement warning will not affect the ability to process payroll. Payroll can still be closed and finalized with warnings present on the pay statement, but it is crucial to ensure that action is taken by the end of the quarter to ensure proper quarter-end processing.
How to fix this warning manually (One Employee)
- Go to Employee Information and look for the Tax Information widget
- Select your State Tab, and find the state that is giving you the payroll error
- Use the ellipses to View Tax Jurisdiction information of that state
- You will see your blank field on the appropriate agency that must be updated. View State Specific Information below for more information by state.
- After updating your employee record, you must recalculate your pay statements to clear the payroll warning.
How to fix this warning via Import (Multiple Employees)
- In the system, go to Settings > Imports > Overview
- Download the template named Employee Tax Settings using Excel
- Fill in all required fields on the Template tab.
- Review the Instructions and Account Tax Jurisdiction tabs for additional information.
- View State Specific Information below for more information by state.
- Save your updated information as a .xls file type (Excel 97-2003)
- Import this saved file into Settings > Imports > Payroll > Employee Tax Settings
- After updating your employee records, you must recalculate your Pay Statements to clear the payroll warnings.
