Auto Populate Timesheets

How to use the auto-populate timesheet functionality to reapply holiday or schedule auto-population rules

Overview

Depending on the employee Timesheet Autopopulation profile, certain items like holidays, schedules, birthdays, or absences, can be automatically populated as entries on their timesheets. This can be completed daily, pay period start, or pay period end. Review Settings > Profiles/Policies > Timesheet Auto Population to review the different profiles that can be customized for your employees.

When a change is made to an item that should have automatically populated, for example, changing a holiday profile, you can run the Auto Populate Timesheet functions so that those holiday profile updates can automatically populate onto employee timesheets using those new rules.

How to Auto Populate Timesheets

  1. Go to Settings > Time & Labor Maintenance > Auto Populate Timesheet
  2. In the report, you will see the current 'Timesheet Auto Populated To Date." If, for example, your Timesheet Auto Population profiles are scheduled to populate on the pay period start, the date you will see in this report will show you the first day of your next pay period.
  3. Set Populated To Date
    1. Before you can populate your updated rules, you need to set the Time Populated to date back to the last time automation should have happened.
    2. Enter the New Time Populated To Date. If your time populates at the pay period start, use the first date of that pay period.
    3. Select the employee boxes in the report. Be careful of the number of rows on your page, and filter the report to ensure you are updating the correct individuals.
    4. Press the Set Time Populated To Date button.
    5. Filter the report on the Timesheet Auto Populated To Date to ensure all appropriate employees are now showing the correct date in this report.
  4. Populate Time
    1. Once all the rows in this report show the correct Timesheet Auto Populated To Date, you can now populate the time using the new rules.
    2. Enter the Populate From and To Dates. For example, if your time populates on the pay period start, these From and To Dates should be the start and End of the appropriate pay period.
    3. Select the employee boxes in the report. Be careful of the number of rows on your page, and filter the report to ensure you are updating the correct individuals.
    4. Press the Populate Time button.

Once this is completed, you should now see the updated automated data on employee timesheets.
